Rydoo charges per user and Expensify charges per active member, and for most small US companies Expensify Collect is the cheaper of the two. Expensify Collect is $5 per unique member a month and already includes QuickBooks Online and Xero. Rydoo Expense is $9 per user a month on Essentials and $11 on Pro with annual billing, from 5 users, and its QuickBooks and Xero connections start on Pro. Rydoo wins when your staff travel internationally and you need per diem and VAT rules for many countries, or when you want approval rules Expensify only sells on Control at $18 a member. Every Rydoo figure here was read off rydoo.com/pricing in US dollars from a US connection in October 2026, and every Expensify figure off expensify.com.

Below are both price lists side by side, the yearly bill at 10 and 25 people, where each one is stronger, how each handles business travel, and a straight answer on which one to buy.

How much does Rydoo cost compared with Expensify?

Rydoo costs $9 per user a month on Essentials and $11 on Pro when you pay annually, or $12 and $14 when you pay monthly, with a 5 user minimum on both. Expensify costs $5 per unique member a month on Collect, and $18 per member a month on Control inside an annual subscription, falling to as little as $9 with heavy Expensify Card use or rising to $36 on pay-per-use.

The two companies count people differently, and that changes the bill more than the list price does. Rydoo Essentials and Pro bill every user on the plan. Expensify bills the members who actually do something in the workspace that month, so an employee who files nothing in a quiet month costs nothing on Collect. Rydoo moves to the same active user logic only on its quoted Business and Enterprise tiers, which start at 30 and 50 active users, under what Rydoo calls Fair Billing.

The Expensify number most people quote, $9, belongs to Control and only applies when the workspace is on a 12 month annual subscription and puts enough of its approved spend on the Expensify Card to earn the maximum 50 percent discount. The full breakdown, including the gap between the pricing page and the help center, is on our Expensify pricing page, and every Rydoo tier is laid out on Rydoo pricing.

What Rydoo and Expensify cost for 10 and 25 people

The table assumes every person submits at least one expense each month, which is the case where per user and per active member billing cost the same. If a share of your team files nothing in a typical month, the Expensify lines fall and the Rydoo Essentials and Pro lines do not.

Plan 10 people, per year 25 people, per year
Expensify Collect, $5$600$1,500
Rydoo Essentials annual, $9$1,080$2,700
Expensify Control at the full Card discount, $9$1,080$2,700
Rydoo Pro annual, $11$1,320$3,300
Rydoo Pro monthly, $14$1,680$4,200
Expensify Control annual, $18$2,160$5,400
Expensify Control pay-per-use, $36$4,320$10,800

Read the table in two halves. At the basic tier Expensify Collect costs a little over half of Rydoo Essentials and also carries the accounting sync that Rydoo keeps for Pro. At the tier with richer approvals, Rydoo Pro at $11 undercuts Expensify Control at $18 unless you move most company spend onto the Expensify Card. A finance team that will not switch cards should compare Rydoo Pro against Control at $18, not at $9.

Which is better for a small US business, Rydoo or Expensify?

For a small US business on QuickBooks Online or Xero with mostly domestic travel, Expensify is the better buy: Collect is $5 a member, syncs to both ledgers on the entry plan, includes travel booking, and needs no sales call. Rydoo is the better buy for a company with staff abroad, multi-entity books or strict approval chains that it wants without paying Control prices.

The QuickBooks point decides a lot of evaluations at the 5 to 20 person stage. On Rydoo, a company that needs its expenses in QuickBooks Online is on Pro at $11 a user from day one, because Essentials does not carry the connection. On Expensify the same company is on Collect at $5. That alone is a $720 a year difference at 10 people. Whichever tool you pick, the card feed and the bank feed still have to agree at month end, and a bank reconciliation tool that matches the statement to your books closes that last gap faster than ticking lines in a spreadsheet.

Where Rydoo is stronger

Rydoo was built in Europe and it shows in the rule engine. Rydoo ships tax, VAT, per diem and mileage rules for more than 45 countries and is used in more than 130, so a US company with a London office or field staff in Germany gets local per diems and VAT recovery without building them by hand. Rydoo Pro adds two level approvals that cover trips and cash advances as well as expenses, custom fields, per diems and automatic card reconciliation for Visa, Mastercard, Amex and AirPlus. Higher tiers add Rydoo Cards, SFTP, an API, bank feeds, SAML SSO and HR connectors for Workday and SuccessFactors.

Where Expensify is stronger

Expensify is the faster start for a US team. Collect is a self-serve plan that most businesses begin on, and it covers receipt scanning, reimbursements, corporate card management, expense and travel approvals, travel booking with rules, and QuickBooks and Xero integrations. Expensify Control adds multiple approval flows, custom expense rules, NetSuite, Sage Intacct, Workday and Certinia connections, SAML and SSO, custom insights and budgeting. The Expensify Card is the lever that lowers the Control price, which suits a company happy to run its spend through Expensify's own card.

Rydoo vs Expensify for business travel

Expensify books travel and Rydoo does not. Expensify Travel is part of Collect and Control, with unlimited bookings, trip approvals and a 24/7 travel support line, and it is charged per trip at $15 for a self-serve booking and $25 for one handled by an agent. Rydoo has no booking engine of its own. Rydoo connects to travel partners such as BCD Travel, Amex GBT Egencia and Perk, and bookings made there arrive in Rydoo as expenses in the To Submit list.

That makes the travel question a question about where your company already books. If you have no booking tool and want one inside the expense product, Expensify covers it for a per trip fee. If you already use a travel management company or a booking platform, Rydoo slots in behind it. Our travel and expense management software guide compares the combined tools, and Concur vs Expensify covers the other common pairing on a finance shortlist.

Is Rydoo cheaper than Expensify?

No, not at the entry level. Rydoo Essentials at $9 per user a month costs more than Expensify Collect at $5 per member. Rydoo becomes the cheaper option only against Expensify Control: Rydoo Pro at $11 a user is $7 a month cheaper per person than Control at its $18 annual rate, and $25 cheaper than Control on pay-per-use.

Can you use Rydoo or Expensify without a sales call?

Yes, both. Rydoo sells Essentials and Pro online on a self-service basis, from 5 users, and keeps Business and Enterprise for sales. Expensify Collect is self-serve and pay-per-use, and Expensify assigns an account manager to workspaces from 100 members. That is a real difference from SAP Concur, which only sells through a demo, as our Rydoo vs Concur comparison works through.

Which to buy

Buy Expensify Collect if you are a US company under about 50 people, your books are in QuickBooks Online or Xero, most travel is domestic and you want booking and expenses in one self-serve product. Buy Rydoo Pro if your people travel abroad, you need local per diem and VAT rules, you want trip and cash advance approvals in the expense tool, and you are not going to move company spend onto the Expensify Card to bring Control down to $9. Look at Rydoo Business or Expensify Control once you pass 30 active users or need NetSuite, Sage Intacct or SSO.

The cost neither tool sees until it is spent

Rydoo and Expensify both start at the receipt. Rydoo applies its rules to the expense once it is submitted, and Expensify applies the rules once the trip is booked or the card is swiped. The decision that sets most of the travel bill, meaning how many days, which city order, which hotels and what each day costs, is made before either tool is involved.

That is the part TripAgent.ai covers. You describe the trip, and it writes a day by day itinerary with times, places and a cost on every line, from $49 a month, so the manager approving the trip sees an estimate before anyone spends. TripAgent.ai does not handle receipts or reimbursements and does not replace either expense tool. If your team plans work trips this way, start with our business travel planner or see TripAgent.ai pricing.
