Rydoo pricing and Rydoo cost per user for Essentials, Pro and Business in 2026
Rydoo is a Belgian expense platform with a US dollar price list, which makes it one of the few expense tools where a US finance lead can see a real number before a sales call. The catch is that only two of the four expense plans have one, and the plan most mid-size companies end up on, Business, does not.
Day-by-day itinerary · a cost on every line · rebuilds any day on request
The short answer
Rydoo Expense costs $9 per user a month on Essentials and $11 on Pro when billed annually, or $12 and $14 billed monthly, in US dollars. Both self-service plans start at 5 users, so the smallest annual bill is $540 a year on Essentials and $660 on Pro. Business starts at 30 active users and Enterprise at 50, both on custom quotes, and on those two plans Rydoo bills only active users. Rydoo Accounts Payable is quote only on all four tiers. Rydoo does not sell its own booking engine: travel is booked through BCD Travel, Amex GBT Egencia or Perk and synced into Rydoo as expenses, so a travel program pays a second vendor. TripAgent.ai is a different purchase: it plans and prices a business trip day by day from $49 a month and does not book anything.
Every price, plan threshold and feature line below was read off rydoo.com/pricing with the currency switched to USD from a US connection in October 2026, along with Rydoo's own travel page. Where Rydoo does not publish something, such as the Business quote or the price of an add-on, this page says so instead of repeating an aggregator's guess.

Why it works
Three things that decide what Rydoo actually costs you
Five users is the floor
Essentials and Pro both start at 5 users. A three person finance team still pays for five, which puts the smallest Essentials bill at $45 a month on annual billing and $60 on monthly billing.
Annual billing saves about a quarter
Essentials drops from $12 to $9 per user a month on an annual contract, a 25 percent cut. Pro drops from $14 to $11, about 21 percent. On 40 users that is $1,440 a year back on either plan.
Travel is a second invoice
Rydoo handles the expense side of a trip. Flights and hotels are booked through BCD Travel, Amex GBT Egencia or Perk, which bill separately, and the Egencia connector is a paid add-on on Business and Enterprise.
What it handles
Tell it your trip, get a costed day-by-day itinerary
Share your destination, dates and budget and TripAgent.ai writes a day-by-day itinerary with real places, times and a cost estimate on activities, food and local transport. Name the city you fly from and the plan adds the return flight, a stay for every stop and the hops between cities, and you ask for any day to be rewritten until the plan fits.

Honest comparison
An expense platform priced per user versus a trip planner priced per month
These answer different questions. Rydoo is where employees file receipts and finance approves and exports them. TripAgent.ai works out what a trip should contain and what it will cost, while the trip is still a decision rather than a reservation.
| What you are buying | Rydoo | TripAgent.ai |
|---|---|---|
| Published price | Essentials $9 to $12 and Pro $11 to $14 per user a month, Business and Enterprise quoted | From $49 a month, or $24 a month billed annually |
| What the price covers | Receipt capture, expense approvals, card reconciliation and accounting exports | A day by day itinerary with a price on every line, before anything is reserved |
| Pricing unit | Each user from 5 users, or each active user from 30 on Business | A flat monthly plan with a set number of trip plans |
| Travel booking | Through BCD Travel, Amex GBT Egencia or Perk, billed by that partner | None. It prices the trip so you know what to book |
| Quote required | No for Essentials and Pro, yes for Business, Enterprise and every Accounts Payable tier | No. Three plans and three prices on the pricing page |
| Best for | Companies that file expenses in several countries and want local tax and per diem rules built in | Teams whose real cost is deciding the trip and its budget |
How much does Rydoo cost?
Rydoo costs $9 per user a month for Essentials and $11 for Pro on annual billing, and $12 and $14 on monthly billing. Both plans require at least 5 users. Business, from 30 active users, and Enterprise, from 50 active users, are priced on a quote. Those are the only dollar figures on rydoo.com/pricing in October 2026, shown when the currency selector is set to USD.
Rydoo also publishes the same plans in euros and pounds, and that is where most of the conflicting numbers online come from. Essentials is €8 or £8 a month on annual billing and $9 in dollars, so an article quoting 8 is quoting the euro list, not a discount. Rydoo Accounts Payable has four tiers of its own, Basic, Core, Professional and Enterprise, and none of them carries a published price.
| Rydoo Expense plan | Annual billing, per user a month | Monthly billing, per user a month | Minimum | How Rydoo sells it |
|---|---|---|---|---|
| Essentials | $9 | $12 | 5 users | Online self-service |
| Pro | $11 | $14 | 5 users | Online self-service |
| Business | Custom quote | Custom quote | 30 active users | Personalised guidance |
| Enterprise | Custom quote | Custom quote | 50 active users | Personalised guidance |
| Accounts Payable, all four tiers | Custom quote | Custom quote | Unlimited users on every tier | Quote only |
What each Rydoo plan includes
Essentials covers the basics a small team needs to stop chasing paper: the Rydoo receipt scanning app, unlimited expenses, mileage claims calculated from the destination, Uber, Lyft and Slack connections, a single level of approval, PDF and Excel exports, export templates and certified paperless expensing in the countries Rydoo lists in its Compliance Centre.
Pro is the plan to look at if your books live in an accounting system. Rydoo adds QuickBooks, Xero and Exact Online, per diems and daily allowances, automatic matching of Visa, Mastercard, Amex and AirPlus card transactions, custom policies and spending rules, a second level of approval including approvals for trips and cash advances, and custom fields on expenses, trips, users and projects.
Business adds Rydoo Cards, SFTP access, API access, a custom bank transaction feed and priority ticket support. Enterprise adds Rydoo Intelligence, advanced approval workflows, custom fields by branch, an insights dashboard, SAML single sign-on, HR connectors and full-term sandbox access. The comparison table on the Rydoo page marks NetSuite, SAP S/4HANA, Microsoft Dynamics, Workday, SAP SuccessFactors and the Egencia connector as add-ons, which means a separate line on the quote.
Rydoo cost per year at 10, 25 and 50 users
Because Essentials and Pro are flat per user prices, the yearly bill is users times the rate times twelve. The table below does that sum at three company sizes. At 50 users a company would usually be steered to Business, so the 50 user row shows what the self-service plans would cost as a ceiling to negotiate the Business quote against.
| Users | Essentials, annual | Essentials, monthly | Pro, annual | Pro, monthly |
|---|---|---|---|---|
| 5, the minimum | $540 | $720 | $660 | $840 |
| 10 | $1,080 | $1,440 | $1,320 | $1,680 |
| 25 | $2,700 | $3,600 | $3,300 | $4,200 |
| 50 | $5,400 | $7,200 | $6,600 | $8,400 |
Two practical points come out of the numbers. First, the jump from Essentials to Pro costs $2 per user a month on annual billing, $24 a year per person, and it is the only way to get QuickBooks or Xero sync on a self-service plan, so most US teams with an accounting system should price Pro, not Essentials. Second, the active user rule on Business and Enterprise only pays off once a real share of your headcount files nothing in a given month. A field team where everyone files every month gains nothing from it.
Rydoo travel pricing and the travel partners
Rydoo does not run its own booking engine. Its travel page says bookings are made through three partners, BCD Travel, Amex GBT Egencia and Perk, and each booking then lands in Rydoo as an expense with the amount, date, payment method, currency and receipt, waiting in the traveler's To Submit list for a check before approval. Rydoo describes the policy split in two layers: the travel partner applies the travel policy at booking and Rydoo audits the expense that follows.
For budgeting that means a Rydoo travel program has two bills. Rydoo bills the expense side per user. The partner bills the booking side on its own terms: Perk Starter is $0 a month plus 5 percent of each booking capped at $30, BCD Travel and Egencia quote per transaction fees privately. Rydoo also lists the Egencia connector as an add-on on Business and Enterprise, so that pairing carries a third line. The full arithmetic for the partners is on our BCD Travel pricing page and in how much Egencia costs.
Is Rydoo cheaper than Expensify, Zoho Expense or Fyle?
On published US list prices Rydoo sits in the middle of the market. It is cheaper than Fyle and the Expensify Control plan at list, and more expensive than Zoho Expense and Expensify Collect. Every rate below is the vendor's own published figure as recorded on our pricing pages, annual billing where the vendor offers it.
| Expense platform | Entry plan, per user a month | Accounting sync plan, per user a month | Minimum or catch |
|---|---|---|---|
| Zoho Expense | $3 Standard | $5 Premium | Free for up to 3 users |
| Expensify | $5 Collect | $18 Control in the annual size, $36 above it | The $9 Control rate needs heavy Expensify Card use |
| ITILITE Expense | $6 per active user | Same plan | Counts only people who submit a report |
| Emburse Spend | $8 Basic | $12 Plus | 15 user minimum, so $120 a month floor |
| Rydoo | $9 Essentials | $11 Pro | 5 user minimum, so $45 a month floor |
| Fyle | $11.99 Growth | $14.99 Business | Billed per active user |
| Navan Expense | Free for 5 users | $15 per user after that | Paired with Navan travel |
The comparison that matters most for a US buyer is Rydoo Pro against Emburse Spend Plus. Rydoo Pro is $11 against $12 and starts at 5 users against 15, so for a team under 15 Rydoo is clearly cheaper. Rydoo's edge grows for companies that file expenses in Europe, because local tax, VAT and per diem rules for 45+ countries are part of the product. For a US-only team that just wants QuickBooks sync, Zoho Expense Premium at $5 is the cheaper path. See our Emburse pricing and Expensify pricing breakdowns for the details behind those rows.
SAP Concur is missing from the table because it charges per expense report, not per user, at about $7 a report on Base. Rydoo Pro and Concur Base cost the same when each person files about 1.6 reports a month, and the full math is in Rydoo vs Concur pricing.
Costs that sit outside the Rydoo price per user
Four costs never appear in the $9 or $11. Add-on integrations on Business and Enterprise, including NetSuite, SAP S/4HANA, Workday and the Egencia connector, are priced on the quote. Onboarding support is marked optional on Business and Enterprise. Rydoo Cards and controlling services are add-ons on some tiers. And the travel partner bills its own booking fees, as above.
The bigger cost for most teams sits before any of these tools. Someone has to decide what the trip should be, which days the meetings fall on, which hotel area keeps the commute short and what the whole trip should cost before anyone books it. TripAgent.ai writes that plan: a day by day itinerary with a price on every line, from $49 a month, so the number that reaches Rydoo as an expense was agreed in advance. The business travel planner shows the format, and corporate travel software pricing compares the booking platforms Rydoo pairs with.
