Tourwriter is the itinerary and back office platform built for inbound tour operators and DMCs that price trips from their own supplier contracts, and it is one of the two operator platforms most US luxury and FIT operators end up comparing. The prices are published, but you have to read them carefully. The pricing URL most people guess returns a 404; the current plans live on tourwriter.com/plans. Every figure is a "from" price billed annually per user, the top tier has no number at all, a setup fee sits on top of every plan, and each tier caps how many itineraries you can build in a year. Review listings and an older New Zealand dollar page from the desktop product era still circulate with different figures. Here is every current number, what it buys, what a year really costs at one to five users, and how it compares with Safari Portal and the advisor tools on the same shortlist.

Day-by-day itinerary · a cost on every line · rebuilds any day on request

The short answer

Tourwriter costs from $99 per user a month on Starter and from $149 per user a month on Pro, both billed annually and quoted in US dollars before local sales tax. Premium is priced on application for teams of five to twenty and more. Every plan carries a one time setup for data migration, account setup and training from $1,199. That puts a single Starter user at about $2,387 in the first year and $1,188 a year after that, and a team of three on Pro at about $6,563 in year one. Starter is capped at 25 itineraries a year and Pro at 50, which works out to roughly $47.52 per itinerary on a full Starter year after setup. Tourwriter offers demos and quotes rather than a self-serve trial.

Why it works

Three things that decide what Tourwriter actually costs you

Every seat is priced separately

Tourwriter charges per user, so the bill rises in a straight line with headcount. One Starter user is $1,188 a year. Five Pro users are $8,940 a year before setup, with no seat bundled into the base price.

The setup fee is a floor, not a quote

Tourwriter lists a one time setup for data migration, account setup and training from $1,199. It is a starting figure, so a business moving years of supplier rates across should budget above it.

Itinerary caps set the plan

Starter allows up to 25 itineraries a year and Pro up to 50. Premium removes the cap. An operator that quotes more trips than that is on Premium regardless of headcount, and Premium is priced on application.

What it handles

Tell it your trip, get a costed day-by-day itinerary

Share your destination, dates and budget and TripAgent.ai writes a day-by-day itinerary with real places, times and a cost estimate on activities, food and local transport. Name the city you fly from and the plan adds the return flight, a stay for every stop and the hops between cities, and you ask for any day to be rewritten until the plan fits.

How much does Tourwriter cost?

Tourwriter costs from $99 per user a month for Starter and from $149 per user a month for Pro, both billed annually. Premium is priced on application. A one time setup for data migration, account setup and training starts at $1,199 and applies on top of whichever plan you choose. Tourwriter quotes in US dollars and excludes local sales tax.

Read the "from" in front of every figure. Tourwriter sells through a quote request rather than a checkout, so the number on the plans page is the floor of what a quote can say, not the quote itself. Optional add-ons, such as the Google Maps integration on Starter or the two-way Xero integration on Pro, are priced separately and not printed on the page. What the page does let you do is set a reliable minimum budget, which is what the table below works out.

Plan Who Tourwriter sells it to Price per user Per user per year Itineraries a year
Starter 1 person, businesses in their first 3 years From $99 a month, billed annually $1,188 Up to 25
Pro Teams of 2 to 5 From $149 a month, billed annually $1,788 Up to 50
Premium Teams of 5 to 20 and more Priced on application Quoted Unlimited
Setup, any plan One time From $1,199 Year one only Not applicable

Tourwriter positions Starter for businesses just starting out in their first three years, so treat it as an entry plan with a ceiling rather than a plan you stay on. An established operator, or anyone with a second person on the account, is shopping Pro or Premium.

Tourwriter cost per user at one to five users

Because every Tourwriter seat is billed separately, the yearly bill is simple arithmetic: the per user rate times twelve, times the number of people, plus the setup fee in the first year. The table uses the published "from" prices and the $1,199 setup floor, so real quotes can only land at or above these lines.

Users Plan First year with setup Each later year Per user per month, year one
1 Starter $2,387 $1,188 $198.92
2 Pro $4,775 $3,576 $198.96
3 Pro $6,563 $5,364 $182.31
4 Pro $8,351 $7,152 $173.98
5 Pro $10,139 $8,940 $168.98

The first year is the expensive one for a small team. The $1,199 setup roughly doubles the year one cost of a single Starter seat, and it is still a fifth of the bill for two Pro users. From year two the setup drops away and the per user rate is the whole cost.

At five people Tourwriter also lists Premium as the plan for teams of five to twenty and more. If a quote for five Pro seats comes back close to a Premium quote, the unlimited itinerary allowance on Premium is usually the deciding line.

What does Tourwriter cost per itinerary?

On a full year after setup, Tourwriter Starter works out to about $47.52 per itinerary, which is $1,188 divided by the 25 itinerary cap. In the first year, with the $1,199 setup, it is about $95.48. Pro for a team of two at its 50 itinerary cap is about $71.52 per itinerary from year two, and about $178.80 for a team of five.

Tourwriter states the caps on the plan, not per user, so a larger Pro team spreads more seats across the same 50 itineraries. That is the reason growing operators move to Premium earlier than headcount alone would suggest: the cost per itinerary on Pro rises with every person you add, while Premium removes the cap. Ask Tourwriter on the demo how the cap counts drafts, revisions and quotes that never convert, because an operator that quotes three trips for every one it sells reaches 50 much sooner than its sales figures suggest.

Plan and team Yearly subscription Itinerary cap Cost per itinerary at the cap
Starter, 1 user, year one $2,387 with setup 25 $95.48
Starter, 1 user, later years $1,188 25 $47.52
Pro, 2 users, later years $3,576 50 $71.52
Pro, 3 users, later years $5,364 50 $107.28
Pro, 5 users, later years $8,940 50 $178.80

What is included in Tourwriter Starter, Pro and Premium?

Traveler checking a day by day trip plan on a phone

Tourwriter Starter includes the itinerary builder with up to 25 itineraries a year, mobile optimized itineraries, supplier and rates management, automatic pricing, booking management and traveler payments through Stripe. Support runs by chat and email 24 hours a day, five days a week, and add-ons such as the Google Maps integration can be bought on top.

Tourwriter Pro includes everything in Starter and raises the cap to 50 itineraries a year. Pro adds agency commissions, the Google Maps integration, export of bills and invoices for upload to MYOB or QuickBooks, a WordPress itinerary plugin and your own Success Exec. A real-time, two-way Xero integration is an optional add-on on Pro.

Tourwriter Premium includes everything in Pro with unlimited itineraries, business intelligence, central management of several brands, the two-way Xero integration for supplier payments and traveler invoices, multi-language itineraries, a traveler app through Vamoos or AXUS and a website enquiry form.

Feature Starter Pro Premium
Supplier and rates database Yes Yes Yes
Automatic pricing from your rates Yes Yes Yes
Booking management Yes Yes Yes
Traveler payments through Stripe Yes Yes Yes
Itineraries a year Up to 25 Up to 50 Unlimited

Google Maps integration Add-on Yes Yes
MYOB or QuickBooks export No Yes Yes
Two-way Xero integration No Add-on Yes
Multi-language itineraries No No Yes

For a US operator the accounting line matters most. QuickBooks export arrives on Pro as a file upload of bills and invoices, not a live sync, and the live two-way connection Tourwriter sells is with Xero, which is a Pro add-on and a Premium inclusion. If your books are in QuickBooks Online, ask on the demo exactly which fields the export carries.

Why review sites show different Tourwriter prices

Two older sources explain most of the conflicting numbers. Review listings copy plan prices at the time a vendor fills in their profile and some still print a dollar figure for Premium, while the Tourwriter plans page now says Premium is priced on application. Tourwriter also still has an older annual pricing page in New Zealand dollars from the desktop product era, built on a base fee plus a per user charge, which no longer matches the current plans.

The rule is simple: use tourwriter.com/plans in US dollars, treat every figure there as a minimum, and ask for the setup and any add-ons in writing. Where Tourwriter does not publish a number, such as Premium, monthly billing or the Xero add-on, this page says so instead of filling the gap.

Tourwriter vs Safari Portal and the advisor tools on price

Tourwriter and Safari Portal are the two operator platforms that price trips from your own content and close out the back office, and they are priced on opposite shapes. Tourwriter charges every seat separately and adds a setup fee. Safari Portal bundles users into the plan, with one user on Essentials at $299 a month and three on Pro at $399, and gives one month free on annual billing. The full breakdown, including the $199 supported rate, is on our Safari Portal pricing page.

Team size Tourwriter, first year with setup Safari Portal, first year on annual billing Travefy Core, annual
1 user $2,387 on Starter $3,289 on Essentials $468
2 users $4,775 on Pro $3,889 on Essentials plus one user $708
3 users $6,563 on Pro $4,389 on Pro $948
5 users $10,139 on Pro $5,589 on Pro plus two users $1,428

Tourwriter is the cheaper operator platform for one person and the dearer one from two people up, and the gap widens with every hire because Safari Portal includes three users in Pro. In later years, without setup, a single Tourwriter Starter seat costs $1,188 against $3,289 for Safari Portal Essentials, so a solo operator who plans to stay solo pays a lot less on Tourwriter over three years.

Travefy, Tern and AXUS cost a fraction of either, but they are built for advisors reselling commissionable product rather than operators pricing from their own net rates, which is the job Tourwriter is sold for. Every rival is priced side by side on our itinerary builder for travel agents page, and the operator-only shortlist is compared in itinerary builder software for tour operators.

Is Tourwriter worth it?

Tourwriter is worth it for an inbound tour operator or DMC that builds every trip from its own supplier contracts and needs those rates priced into the itinerary automatically, with booking requests and traveler payments in the same place. For that business the supplier database is the product, and Starter at $99 a user a month is the cheapest published way to get it.

Tourwriter is harder to justify for a growing team on Pro, where five seats cost $8,940 a year before setup while Safari Portal Pro with five users is $5,589, and for a leisure advisor reselling packaged product, where a $39 a month advisor tool covers presentation and CRM. Operators who quote far more trips than they sell should also count the itinerary cap before signing.

The step a Tourwriter subscription leaves to you

Traveler at an airport reviewing a revised day by day plan on a laptop

Tourwriter prices a trip once you know what goes in it. Tourwriter pulls rates from your supplier database and applies your markup, and Tourwriter handles the booking requests to suppliers. What Tourwriter does not do is decide the shape of a new itinerary for an enquiry you have never built before: which towns in which order, how many nights each, what fits between transfers, and what each day costs on the ground.

TripAgent.ai writes that first draft. You describe the client and the trip, meaning destination, length, party, budget and style, and it returns a day by day itinerary with morning, afternoon and evening plans, realistic transfer times and a cost on activities, food and local transport, from $49 a month. Your product team then rebuilds the draft in Tourwriter with your own contracted suppliers and rates. TripAgent.ai does not hold supplier rates, invoice travelers or reserve anything, so it sits in front of the operator platform rather than replacing it, and a quick draft for every enquiry also helps keep within the itinerary cap. See how it works for agencies on our AI for travel agents page.

Good questions

Questions tour operators and DMCs ask about Tourwriter pricing

Tourwriter costs from $99 per user a month on Starter and from $149 per user a month on Pro, both billed annually and before local sales tax. Premium is priced on application. A one time setup from $1,199 applies to every plan, so a single Starter user pays at least $2,387 in the first year and $1,188 a year after that.
Tourwriter does not list a self-serve free trial on its plans page. Every plan carries a quote request, and the page offers a demo and a plan recommendation call instead. Safari Portal, the closest operator platform, gives 14 days without a card, and the advisor tools Travefy, Tern and AXUS publish 10 to 14 day trials.
The Tourwriter setup fee is a one time charge from $1,199 that covers data migration, account setup and training packages. It is published as a starting price and excludes local sales tax, so an operator moving a large supplier and rates database from another system should expect a quote above that floor.
Tourwriter Starter allows up to 25 itineraries a year and Tourwriter Pro up to 50 a year. Tourwriter Premium has no cap. The caps are listed on the plan rather than per user, so ask on the demo how drafts, revisions and quotes that do not convert are counted against them.
Tourwriter Pro exports bills and invoices as files you upload to QuickBooks or MYOB. The live, two-way accounting integration Tourwriter sells is with Xero, which is an optional add-on on Pro and included on Premium. A QuickBooks Online user should confirm on the demo which fields the export carries.
For one person, yes. Tourwriter Starter is about $2,387 in year one with setup and $1,188 after that, against $3,289 a year for Safari Portal Essentials on annual billing. From two users Safari Portal is cheaper: at three users the first year is $4,389 on Safari Portal Pro against $6,563 on Tourwriter Pro with setup.
Tourwriter is best for inbound tour operators and DMCs, often luxury and FIT specialists, that build trips from their own supplier contracts and need automatic pricing from those rates, supplier booking requests and traveler payments in one system. Advisors reselling packaged product usually get more for the money from a $35 to $49 a month advisor tool.
