How do I calculate the total cost of a trip?

Calculate the total cost of a trip by adding six lines and a buffer: transport to the destination, lodging (nights times the nightly rate times the number of rooms), travel between stops, food per person per day, activities, and local transport, plus 10 to 15 percent for what you did not plan. The arithmetic is easy. The hard part is getting a realistic number into each line, because a nightly rate in March and in September can differ by more than half.

Two details trip calculators routinely get wrong. Nights are one fewer than days, so a seven day trip is six nights of lodging, not seven. And the first and last day of a trip cost less in meals and activities, because a good part of them goes on getting there and back. The federal per diem rules build that in: on the first and last day of travel a government traveler gets 75 percent of the daily meal allowance, not the full amount.

That is why TripAgent.ai estimates from the plan. Once the days are written, a travel day is visibly a travel day, the nights are counted from your dates, and each activity has its own number. Adding the lines up is the easy part at the end.

How much does a trip cost per day in the US?

A useful benchmark for what a US trip costs per day is the federal per diem, the ceiling the General Services Administration sets each year for government travelers. For fiscal year 2026 the standard rate is $110 a night for lodging and $68 a day for meals and incidentals, $178 a day per person in most of the country. Popular cities run well above that, and the lodging ceiling moves with the season.

Read from the GSA per diem API for FY2026: New York City lodging runs from $179 a night in January and February to $342 from September to December, with $92 a day for meals. Chicago runs from $142 to $234 a night, also with $92 for meals. San Diego is $199 to $237, Orlando $140 to $169 and Las Vegas $126 to $159, each with $80 to $86 a day for meals.

Put together, four nights in New York in September at the federal ceilings come to $1,368 for the room and $414 for meals (three full days at $92 and two travel days at $69), $1,782 per person before the flight, the museums or a single subway ride. A leisure traveler can spend less or more than a government traveler, but these are published, dated numbers, which is more than most calculator averages can say. For a work trip costed against a company budget, the business travel planner builds the days around the meetings instead of the sights.

Why do trip cost calculators get the total wrong?

Trip cost calculators get the total wrong because they multiply averages instead of pricing a plan. A destination average blends cheap months with expensive ones, a budget hostel with a mid-range hotel, and a traveler who cooks with one who eats out three times a day. The New York example above shows how far a single city moves: the same room ceiling nearly doubles between February and September.

The second miss is the travel between stops. A trip to Lisbon and Porto, Rome, Florence and Venice on the Italy trip planner, or Paris, Amsterdam and Brussels, carries trains or short flights that a single destination calculator has no field for, and so does the inter-island flight on the Hawaii trip planner. The third is double counting: add the train to the day it happens and again to the transport line, and the total is inflated by a ticket you only buy once. Each of those is an estimate made when the plan is written, not a quote and not a live price. It tells you whether the trip fits the budget and which line is the problem. When the total runs over, ask for the most expensive day again with a lower budget or a different focus, and it is rewritten and recosted while the rest of the trip stays put. How much should I budget for a vacation?

Budget for a vacation by pricing the specific trip rather than picking a round number: estimate the flight for your party, the nights at the kind of place you actually stay in, the travel between stops, and a daily figure for food and activities that matches how you travel, then add 10 to 15 percent. A family of four and a solo traveler going to the same city can differ by a factor of three on the same dates.
